Program Manager - Santa Cruz Sobering Center

Program Manager – Santa Cruz Sobering Center

The Sobering Center Program manager plans, directs and participates in the daily operation of the Sobering Center, ensuring quality of care, appropriate staffing, staff support, data management, community and interagency relations, and effective and pertinent program content.

Essential Duties and Responsibilities:

  • Program Management and Development
  • Organizes program structure, introduces effective practices and updates program content in order to ensure effective quality client management.
  • Monitors and ensures quality of care.
  • Ensures program compliance with all applicable city, county, state, and federal laws and regulations.
  • Maintains current resource listings of agencies and practitioners to be used by staff for discharge planning and care collaboration.
  • Completes and submits all required administrative reports to Janus management.
  • Implements all grant requirements and cooperates with the sheriff’s designee in managing grant requirements.
  • Collaborates with the data collection and analysis partner in ensuring that data is collected accurately and in a timely manner.

Personnel Management and Support:

  • Is responsible for screening and hiring program staff following organization Human Resource protocol.
  • Schedules and maintains full staffing at all times.
  • Ensures that staff is aware of job expectations and requirements and that they receive and understand their job descriptions.
  • Promotes staff attendance at agency trainings and other professional development opportunities.
  • Assigns cases, clinical and program responsibilities, as appropriate.
  • Schedules and facilitates regular staff meetings to include all staff in program updates, HR issues and maintain team collaboration.
  • Ensures that all staff is oriented to the needs of the program population, the mission, philosophy and protocols of the program, related Janus services, the resources in the area and all essential organization policies.
  • Ensures that staff complete all required administrative reports & /or documentation in a timely manner.
  • Provides for regularly scheduled supervision for all program staff. Supervision includes professional guidance and oversight; honest, constructive and timely feedback to staff regarding performance of their professional role and duties; support for improved performance and, when necessary, initiation of progressive disciplinary procedures for serious performance problems.
  • Completes performance evaluations, progressive disciplinary action forms, hire and change forms and termination procedure.

Other Responsibilities:

  • Attends all required trainings and administrative meetings.
  • Actively participates in Health and Safety, Risk Management, CQI, Cultural Competency or Training committee as requested.
  • Driving is required in order to attend required trainings, meetings or to fulfill other responsibilities defined in this role.
  • Attends and utilizes scheduled management meetings. Brings issues of concern and/or importance to manager for consultation. Alerts manager to potential incidents, program/staffing/financial/political problems, new program opportunities and program/staff achievements.
  • May also provide transportation to clients in personal or Janus vehicle.

Qualifications:

  • One year of administrative/management experience, preferably in a medical, mental health, social services or alcohol or drug treatment program that included direct involvement with clients and staff supervision.
  • Bi-lingual English/Spanish preferred but not required.
  • CPR Certification (can be completed on hire).
  • Valid driver’s license, safe driving record and car.

  • Cognitive and intellectual capacity to comprehend, administer, and organize program policies and procedures.
  • Personal and intellectual ability to collaborate and organize effectively, understand and work with complex systems, provide professional leadership to the multi-disciplinary team and manage a budget.

Accounts Payable/Payroll Specialist

Accounts Payable/Payroll Specialist

The Accounts Payable/Payroll Specialist performs accounting, payroll and administrative work relating to the accounts payable, payroll and receivables system. Performs tasks required to ensure the timely processing of payroll. Work involves processing, distribution and maintenance of invoices and checks; checking balances and setting up financial records; as well as financial forms processing. Work involves frequent internal and external contacts within well defined procedures. This is a full-time position with full benefits.

Essential Duties and Responsibilities:

PAYROLL

  • Prepares and processes semi-monthly payroll.
  • Maintains up to date payroll information by collecting, calculating and entering data, including current salary, authorized deductions including wage garnishments, hours worked, vacation time and sick leave.
  • Contacts employees and supervisors regarding discrepancies on web based time keeping system and makes corrections as authorized.
  • Track wage attachments such as child support, garnishments and leave of absence requests.
  • Oversees year-end reporting (W-2, W-2C, 1095c).
  • Answers questions from employees on payroll matters and researches problems such as underpayment or overpayment, inaccurate accrual balances, and improper deductions and resolves discrepancies and troubleshoots other payroll issues

ACCOUNTS PAYABLE AND RECEIVABLE

  • Receives and processes invoices and check requests, process monthly rental receivables. Reconciles client accounts.
  • Sorts and reviews invoices and check requests for proper account codes, discounts and payment terms.
  • Bills and credits accounts involved with the accounts payable system.
  • Sets up and maintains a record and filing system of accounts payable vendor files and other financial records including purchase orders and invoices for retrieval or review by purchasing administrators.
  • Responds to questions and makes calls regarding billing problems; acts as a liaison between departments and vendors.
  • Checks departmental financial accounts to assure funds are available for purchases.
  • Processes requisitions and prepares purchase orders.
  • Checks encumbrances, cash disbursements, and inter-departmental transfers for accuracy.
  • Prepares billing statements and issues refunds.
  • Prepares and posts bank deposits and delivers to the bank.
  • As requested, participates in general or special assignments.

QUALIFICATIONS:

  • 3- 5 years of AP and payroll and customer service experience.
  • Ability to perform complex bookkeeping functions; review invoices, vendor statements, calculate sales taxes; apply rules and regulations to practical situations; perform complex arithmetical calculations accurately and rapidly.
  • Ability to assemble and organize data and prepare worksheets and reports; type accurately; communicate effectively in oral and written form; understand and carry out both oral and written directions in an independent manner.
  • Knowledge of basic principles, methods and practices of statistics, bookkeeping and financial record keeping; payroll and accounting methods and requirements as related to payroll tax deductions payroll systems; proper office methods and procedures.

Registered Nurse - Santa Cruz MAT Clinic

Registered Nurse – Santa Cruz MAT Clinic

The Registered Nurse position serves as the clinical liaison between Santa Cruz Community Health Centers (SCCHC) and Janus of Santa Cruz (Janus) in support of the Central Coast Recovery Options program (“Hub and Spoke” model for MAT). Candidates for this position are expected to demonstrate exceptional communication, patient relations, organizational and time management skills. This is a part-time position that reports to the Janus MAT Director and the SCCHS Nurse Manager when there.

DUTIES

  • Monitor induction of SCCHC patients on buprenorphine [Suboxone] until stable (monitoring of signs and symptoms of opioid withdrawal, dose changes, responding to clinical questions, etc.) between medical provider, BH visits
  • Perform pre-MAT screenings and order tests for co-morbidities, if not done
  • Provide by-phone and/or in-office triage of patients desiring treatment for SUD and direct patient to appropriate level of care (SCCHC medical, SCCHC BH, Janus)
  • Monitor and adjust dosing of opiates in pre-induction phase (e.g. decreasing dose of Methadone, “bridge” from other meds to Suboxone)
  • Monitor and adjust dosing in Maintenance Phase, assess and respond to relapse, monitor for risk factors (e.g. use of other substances, incarceration, homelessness, etc.)
  • Perform Quality Improvement/Quality Assurance activities:
  • Review MAT registry weekly and prioritize coordination of care to high-risk patients
  • Chart review for up-to-date CURES, UTox, Controlled Substance Agreement, per SCCHC policy
  • Track if patient is keeping medical & BH visits
  • Ensure co-Rx of Naloxone
  • Participate in Hub and Scope meetings, activities, trainings, etc.

MINIMUM QUALIFICATIONS

  • Value, promote, and is committed to the Janus and SCCHC Missions
  • Desire to serve the community clinic population with excellent health care
  • A valid and current RN license issued by the State of California. Must be a graduate of an accredited school of nursing.
  • At least three years recent clinical experience as an RN, preference in a primary care, community-based or public health setting
  • Demonstrated ability to perform assigned responsibilities with minimum supervision; to maintain quality control standards; to interpret, adapt and apply guidelines and procedures.
  • Fluent bilingual in Spanish/English preferred
  • Current CPR certification
  • Experience with electronic medical records, preferred

MAT Counselors - Central Coast Recovery Options Program

MAT Counselors – Central Coast Recovery Options Program

Janus of Santa Cruz is seeking qualified applicants for counselors for Central Coast Recovery Options – our brand new Medication Assisted Treatment (MAT) expansion program. This program was created to help address the growing opioid crisis and help patients with education and treatment options in conjunction with their primary care physicians. Counselors will provide on-site, individual and/or group counseling for adults with mild to moderate opioid use disorder in a medical setting or doctor’s office. This is a full-time position with full benefits.

Essential Duties and Responsibilities

  • Provide treatment and recovery counseling services to patients referred for opioid use disorder.
  • Document services using the format from each medical clinic assigned and complete charting and other required documentation in an accurate and timely manner.
  • Coordinate and case manage patient care with other community agencies as needed.
  • Maintain federal confidentiality of clinical records and privileged information.
  • Respect and protect the Human Rights of patients.
  • Understand the basic pharmacology of medication-assisted treatment for opioid use disorder.
  • Uphold certifying or licensing entity’s professional Code of Ethics.
  • Work with other clinic staff and patients in a respectful professional manner.
  • Work effectively with a multi-disciplinary team to coordinate patient services and maintain the highest quality of care.

General Program related Responsibilities

  • Alert Program Coordinator of potential urgent situations and/or incidents.
  • Attend supervision meetings and bring issues of concern and/or importance for consultation and direction.

  • Maintain professional licenses/certificates and a valid California driver’s license.

Qualifications

  • Current CAADE, CCAP or equivalent certification; understanding, knowledge and experience in the area of opioid treatment and recovery.
  • Professionally licensed therapists (MFT, LCSW, LPCC, PhD) or interns must demonstrate competency in treating persons with substance use and co-occurring disorders.
  • Must have at least one year of counseling experience.

Treatment Technician

Treatment Technician I

Janus of Santa Cruz is seeking qualified applicants for multiple positions, full-time, part-time and night shift Treatment Technician I in the Perinatal Residential Treatment (PRT) and the Residential Treatment Programs in Santa Cruz. The Treatment Technician I provides support services and general client supervision to the Recovery Programs and is a member of the clinical team.

Counselor – Santa Cruz Clinic

Counselor – Santa Cruz Clinic

Janus of Santa Cruz is seeking qualified applicants for the position of Counselor. Counselors see patients for individual and group sessions Monday through Friday. The Clinic opens at 5:30 a.m and closes at 2:00 p.m. during the week. Weekend hours are 6:00 a.m. to Noon. Janus Community Clinic, 1000 Emeline Ave., Santa Cruz, CA.

Admissions Counselor

Admissions Counselor

The Admissions Counselor is part of the multi-disciplinary treatment team and is responsible for completing the clinical admissions assessment for clients entering the recovery and perinatal programs at Janus. These duties include in-person, level-of-care assessments using the ASI, ASAM placement and motivational interviewing. The Admissions Counselor provides excellent customer service skills, accurately and efficiently completes intakes, assessments and administrative paperwork, including data entry into the AVATAR electronic medical record system and works with persons impaired by substance use disorders with or without co-occurring mental or physical health issues. This is a full-time position with full benefits.

Essential Duties and Responsibilities:

  • Completes the entire admissions assessment in the AVATAR system.
  • Conducts basic client and family orientations including an overview of program guidelines and structure.
  • As needed, assist with clerical tasks to include typing, filing, proofreading, and maintenance of service logs and data entry.
  • Develops and maintains a comprehensive knowledge of community resources; provides information, referrals and follow-up.
  • Exhibits genuine concern for clients and always conducts oneself appropriately and professionally.
  • Coordinates admissions appointments with Janus staff.
  • Obtains authorizations for care and completes timely Utilization Reviews.
  • Ensures that all documentation is completed in an accurate, complete and timely manner in compliance with all legal, licensing and regulatory requirements.
  • Maintains department policies and procedures in accordance with accreditation, licensing and certification requirements.
  • Regularly collaborates and maintains cooperative relationships with area providers and state agencies to support the continuity of care, network coordination & responsiveness to client needs.
  • Proficient computer skills and ability to learn and implement Electronic Medical Software (AVATAR) to perform essential job functions which include, but is not limited to, thoroughly documenting and entering client-related information and documents into the AVATAR system in a timely manner.

QUALIFICATIONS

  • Preference for two (2) years paid experience providing direct substance abuse counseling services in an intensive setting under supervision.
  • Preference for two (2) years paid experience providing direct sales of services or goods.
  • Certified as a drug and alcohol counselor or registered in a State of California approved certifying organization required.
  • Proficient computer skills and ability to learn and implement Electronic Medical Software (AVATAR) to perform essential job functions which includes, but is not limited to, thoroughly documenting and entering client-related information and documents into the AVATAR system in a timely manner.
  • Ability to pass a criminal background investigation.
  • Adept at using all features of the telephone system and voicemail.
  • CPR and First Aid certification prior to the first day of employment and maintains currency.
  • Bi-lingual highly desirable.
